Hospitality and Recreation Business Plan Templates: What Does a Lender Need to Finance a Hotel, RV Park, or Gym?

Rooms, campsites, memberships, and storage units have one thing in common. They cost the same whether anyone uses them or not.

A lender wants to see how full you need to be, and how you plan to get there. These templates start from bookings, members, or tenants.

Occupancy Is the Whole Conversation

For these businesses, the lender’s first question is simple: how full do you have to be?

  1. Your break-even occupancy. The share of rooms, sites, or memberships that covers the mortgage or lease.
  2. A realistic ramp. How long until you get there, season by season.
  3. The property and the build-out. What it costs, what you are putting in, and what the loan buys.

Credit and collateral still weigh in. The plan answers everything else.

Match Your Business to a Template

A hotel sells nights. A gym sells months. A storage facility sells space. Start where your money comes from.

Memberships

Family Fun Center

Inside the Hospitality and Recreation Models

Enter how you charge. The model handles the rest.

  1. Revenue starts with your unit. Hotel from the average night stay. Bed and Breakfast and Short-Term Rental from the average room rental. RV Park from weekly site rentals. Fitness, Pickleball, and Dog Park from memberships. Office Space from tenants. Flipping from each sale.
  2. Startup costs for the place. Build-out, equipment (gym equipment, go-carts, and more), furniture, supplies, and working capital.
  3. Monthly results and a five-year view. The monthly profit and loss (P&L), a 5-year income statement, and a summary with charts.
  4. A Word plan for your property. Location, market, competition, and the funding request.

Example: Break-Even Occupancy

Round numbers for a small inn, illustration only. Rates and costs vary widely by market.

LineExample
Rooms20
Average nightly rate$110
Monthly fixed costs (mortgage, staff, utilities)$33,000
Cost to clean and serve an occupied room$30 a night
Each occupied night leaves$80
Room-nights a month to break even ($33,000 / $80)About 413
Occupancy needed (413 of 600 room-nights)About 69%

If nearby properties run well under 69% in the off season, the lender will see the gap before you do. Plan for it.

Hospitality Plans That Miss

Dr. Paul has reviewed 1,000+ plans. These show up most in lodging and recreation.

  1. Peak season all year. Use a real average.
  2. No budget for upkeep. Rooms, sites, and equipment wear out.
  3. Ignoring the place next door. Competition sets your rate.
  4. Members who have not signed up. Pre-sales and waitlists are proof. Hopes are not.
  5. The property buried in the numbers. Make the purchase clear in the funding request.

What Hospitality Lenders Ask First

Expect these.

  1. What is the slow season like? Show the cash that carries you through it.
  2. What do nearby places charge? Your rate depends on the competition.
  3. Who runs it day to day? A manager, a team, or you.
  4. What is the property worth? Real estate is usually the biggest number in the deal.
